What's new in v6.7 (July 2026)

Most of this came straight from agencies using NAMA daily and telling us what got in the way. Thank you — keep it coming.

  • New: a rebuilt Quick Setup. Seven short screens you can skip through — Welcome → Your business → Company details → Lead channels → Team → One touchpoint → Done — and a setup progress card on your dashboard that tracks whatever you skipped, with a link straight back into each one. The screen worth your attention is Company details: legal name, address, country, currency and tax number, captured once. NAMA shows the right tax field for your country (GSTIN in India, VAT number in the UK and EU, ABN in Australia, sales-tax ID in the US) and sets your currency from the country you pick — so quotes and invoices come out correct from day one rather than needing corrections later.
  • New: Setup progress card on your dashboard. Shows exactly what's still unfinished from setup — WhatsApp, email, team invites — each with a direct link. It disappears on its own once you're done.
  • New: bring your existing leads in during setup. Bulk-import your spreadsheet as part of onboarding, mapping your own column names to NAMA's fields.
  • New: Performance targets & incentives (Team → Performance). Set monthly targets per person or team and define incentive tiers against them, so everyone can see where they stand mid-month instead of finding out at month end.
  • New: Enquiry funnel — the untouched queue (Call Desk). Surfaces enquiries nobody has actually contacted yet, based on real contact activity rather than a status anyone can set by accident. This is the "which leads are we quietly losing?" view.
  • New: Trips. A trip groups everything for one journey — the lead, quote, booking and travellers — so you stop reconstructing context from four modules.
  • New: Holiday catalogue you can share publicly. Publish packages to a public catalogue page you can send to clients or link from your site.
  • New: flight & hotel search built in (where your supplier connection is enabled) — search live availability without leaving NAMA.
  • New: Call Desk whisper card. While you're on a call, the key facts about that client sit on screen — last trip, budget, open quote — so you're never scrambling mid-conversation.
  • Improved: dates are now a proper calendar everywhere. Typing dates by hand in Leads (and follow-ups on desktop) is gone — pick from a calendar, which ends the DD/MM vs MM/DD mistakes.
  • Improved: the Leads table scrolls properly. The horizontal scrollbar stays visible and pinned as you scroll a wide table.
  • Improved: cover images pick themselves. A quote or package for Bali now finds a matching Bali cover image automatically instead of you hunting for one.
  • Improved: AI "fill the gaps" is real. When EKLA offers to complete missing lead details, it now genuinely extracts them from what the client actually wrote.
  • Fixed: marking a lead Lost never gets blocked. If no lost-reason list is set up, NAMA records it as Other and moves on — you can always refine the reason later. Cleanup is never held hostage to configuration.
  • Fixed: everyone can pick a lost reason. The reason list is now readable by every staff role, not just admins — previously sales agents saw an empty list.
  • Fixed: invoicing. Issuing an invoice failed for everyone due to a platform-level permissions fault. Invoices issue normally again.
  • Fixed: auto-reply and no-reply emails no longer become leads. Mailer-daemon and "do-not-reply" messages are filtered out of your inbox-to-lead pipeline.
  • Fixed: DMC rate sheets with unusual column headers now import instead of failing silently, and land in a review queue you can check before they go live.

Also recent (v6.6, still current)

  • New: Ask EKLA — a full page, not just the orb (/dashboard/ekla, in the sidebar under AI & intel). One place to ask anything about your agency. Three things changed:
  • It remembers. Conversations are saved to your account and survive a refresh, a new device, or next week. The rail on the left holds your past threads — reopen, rename by starting fresh, or delete.
  • It cites its sources. Answers are grounded in your agency's knowledge base and your own past threads, and every answer carries citation chips you can click to see exactly what it read. If it can't find a source, it says so rather than inventing one.
  • It suggests your own questions back to you. The hero shows what you've recently asked, so picking up yesterday's thread takes one click. (Only ever your questions — a teammate's question text can contain client details and is never shown to anyone else.)
  • New: Team insights on the Ask EKLA page (Owner / Super Admin / Org Admin only). Last 30 days of question volume, who's actually using it, and — the useful one — the questions your team keeps repeating. A repeated question is a gap in your knowledge base: go fill it once and the team stops asking.
  • Fixed: saves no longer fail with a conflict error. Editing an itinerary, quotation or booking could return a "changed by someone else" error on every save, even when nobody else had touched it. Saves are clean now.
  • Fixed: leads showing Cold when they should be Warm. Lead temperature is now derived from priority when it was never set explicitly — including on historical leads, so your existing pipeline re-reads correctly with no re-entry.
  • Fixed: reminder-linked agency follow-ups now also appear on the matching Lead, instead of only on the contact.
  • Fixed: three Leads/Itinerary issues reported by our QC team.

Also recent (v6.5, still current)

  • New: Lead Travel Type & Traveller CRM. Classify a lead as FIT, Group (GIT), or Corporate, hold a full record for every traveller on the booking (not just the lead contact), and track occasions (anniversary, honeymoon) plus passport/visa expiry dates with reminders.
  • New: Referral Program — Refer & Earn (Settings → Referrals). Give your clients a referral code; when it brings in a new customer, the credit is tracked and applied automatically. No manual bookkeeping.
  • New: Team Chat (/dashboard/team-chat). Internal messaging with presence for your own team — coordinate on a lead without leaving NAMA.
  • Call Desk expanded. Advanced Search across every lead field, a smart queue that orders prospects by historical conversion likelihood, and date filters that correctly use travel dates (not "date added").
  • Holiday Packages: one-click "Quote." Turn any package straight into a quotation with the traveller already linked — no re-typing.
  • Itinerary AI now proposes 3 priced options on the first pass (was a single draft), and can factor in the trip's purpose, VIP status, and what NAMA already remembers about the client.
  • Public quotation links are richer. What your client sees when you send a quote now includes the full itinerary, inclusions/exclusions, terms, and a cover image — not just a bottom-line price.
  • Quotation line items show a small "from rate card" badge when the price came straight from a live vendor rate, so the number is trustworthy at a glance.
  • Leads table: drag-to-resize columns, show/hide columns, and a kanban board view.
  • Bulk import: map your own spreadsheet's column headers to NAMA's fields, and choose how duplicates are handled on large historical imports.
  • Add Lead: a searchable picker for existing agencies/contacts (B2B) and customers (B2C) instead of retyping every time.
  • Calendar: a clearer light theme, defaults to today on open, and reminders now link straight into the Call Desk queue.
  • Finance: Budget tab. Set a spend target per category and get an alert banner as you approach it.
  • Dashboard's "hours saved" banner is now fully honest — it only shows a number when there's real activity behind it, never a placeholder.

Also recent (v6.4, still current)

  • Staff Attendance & Monitoring dashboard (/dashboard/team/attendance). Who's online right now, a per-staff daily login/logout timeline, and team performance — for managers and above.
  • Branches (Settings → Branches). Split your agency into named branches so branch staff see only their own branch's leads, while owners and admins keep full visibility. Optional.
  • Visual Workflow Builder + a configurable Sales → Ops → Finance pipeline (/dashboard/workflow). Drag-drop stages, approval gates, SLA analytics, send-back loops and a vendor-RFQ stage.
  • Instant lead triage at /try — no login. Paste a WhatsApp or email enquiry and NAMA turns it into a structured, scored, quote-ready lead, plus a ready-to-send reply you can open straight into WhatsApp.
  • Bulk import ceiling raised to 30,000 rows per file for both Leads and Contacts.
Availability note (honest status): AI voice and autonomous agents are in limited preview and off by default; the DMC marketplace browse is early-access (single-tenant storefronts are fully live); live-inventory booking is not yet connected. Custom domains (Settings → White Label) are a Meridian-plan capability. Public EKLA on your own website (embed EKLA on your site so visitors chat with it and become leads) is built but off by default — it is not reachable until we enable it for you. Contact support to enable any preview.

1. Platform Overview

NAMA OS is a multi-tenant travel agency operating system. Each travel agency (called a tenant) gets its own isolated workspace, data, and optional whitelabel subdomain (e.g., yourdomain.getnama.app).

NAMA OS is billed per seat — every feature is included, with no feature gates or upsells. You add or remove teammates as you grow and pay only for the people who actually use it. Everything is included on Voyage — unlimited leads, quotations, itineraries, bookings and invoices; custom roles and approvals; the Sales → Ops → Finance workflow builder; WhatsApp and email; automations; and private DMC mode (your own rate templates). In preview (off by default — ask us to switch them on): AI voice, autonomous agents, and the DMC marketplace browse. The only metered item is WhatsApp (charged at Meta's pass-through rate, never marked up); text AI starts with a free taster and becomes unlimited the moment you add your own free Groq key. Manage your plan and seats anytime under Settings → Subscription.

Hitting a limit never fails silently. On the free Compass plan, when you reach a cap (for example the 2-seat limit or a monthly allowance) NAMA opens an upgrade prompt instead of breaking — your existing data is untouched, and moving to Voyage simply lifts the caps.

New agencies start on a 14-day Voyage trial with full features and no credit card. If the trial ends without payment, the workspace drops to the free Compass plan and all your data stays intact — Compass is always there as a fallback, so you're never pushed off it. Adding a teammate is prorated and billed right away; removing one frees the seat and lowers your next renewal, and everything that person created stays in your workspace.

2. Roles & Permissions

NAMA OS uses a strict role hierarchy. Every user has exactly one role. Roles are assigned at invite time and can be changed by an admin.

1. Managing the team

2. Company-wide lead view

  1. Go to Dashboard → Leads.
  2. By default all leads across all agents are shown.
  3. Filter by Assigned Agent, Status, Source, Query Type, or Temperature using the top filter bar.
  4. Export the current view as CSV by clicking Export → CSV.

3. Reviewing quotations

  1. Go to Dashboard → Quotations.
  2. Sort by Created Date descending to see the latest.
  3. Click any quotation to open the detail drawer.
  4. Download PDF or resend to client directly from this drawer.

4. Running reports

  1. Go to Dashboard → Reports.
  2. Four tabs: Team Performance, Revenue by Destination, Lead Funnel, Booking Calendar.
  3. Use the date range picker to filter by period.
  4. Click Export to download as CSV.

  1. Go to Leads and switch to Kanban view (the icon with columns at the top right).
  2. Drag lead cards between columns: New → Contacted → Qualified → Proposal → Won/Lost.
  3. Or open a lead and change the Status dropdown directly.

2. Uploading traveler documents

  1. Open a booking.
  2. Click the Travelers tab.
  3. For each traveler: click Upload Documents → choose document type (Passport, Visa, etc.) → upload file.
  4. The system auto-extracts MRZ data from passport scans (if the image is clear).

3. Generating a voucher

4. Updating the itinerary

  1. Open a booking → click Itinerary tab.
  2. Click Edit Itinerary to enter the builder.
  3. Make changes to day blocks.
  4. Click Save — the updated itinerary is visible to the client on their portal immediately.

5. Sending a booking confirmation

  1. Open a confirmed booking.
  2. Click Send Confirmation in the top action bar.
  3. A PDF confirmation is generated and emailed to all traveler email addresses on file.

2. Generating an invoice

  1. Go to Finance → Invoices.
  2. Click New Invoice and select the associated booking.
  3. The system auto-fills line items from the booking's confirmed quotation.
  4. Adjust any line items, apply taxes from the tenant's tax configuration.
  5. Click Generate PDF to download or Send to Client to email it.

3. Viewing the revenue ledger

  1. Go to Finance → Ledger.
  2. Use the date range picker and filter by Credit/Debit/All.
  3. Each entry shows: date, reference, booking ID, amount, type (CREDIT/DEBIT), balance.

4. Exporting GST report

  1. Go to Finance → Reports → GST Report.
  2. Set the date range (e.g., April to June for Q1 FY).
  3. Click Download GST Report CSV.
  4. The CSV has one row per issued invoice with: invoice number, client name, GSTIN, taxable value, CGST amount, SGST amount, IGST amount, total tax, grand total.
  5. Import directly into Tally, Zoho Books, or share with your CA.

5. Reconciling payments with Razorpay

  1. Go to Finance → Payments.
  2. Filter by Status: Pending.
  3. For each pending payment, check the corresponding Razorpay dashboard entry.
  4. If confirmed paid in Razorpay, click Mark as Received and enter the Razorpay payment ID.

R6 — Sub-Agent

Who: Freelance agents or junior staff who manage their own portfolio of leads.

⚠️ Important: Sub-agents can only see leads and bookings that are assigned to them. Reassigning a lead to a different agent removes it from the sub-agent's view immediately.

1. Viewing my leads

  1. Go to Dashboard → Leads.
  2. The view is pre-filtered to show only leads assigned to you.
  3. Click any lead to open its detail panel.

2. Creating a WhatsApp lead manually

  1. In Leads, click + New Lead.
  2. Fill in: Name, WhatsApp number, Destination, Travel Dates, Budget (estimate).
  3. Set status to HOT, WARM, or COLD based on your assessment.
  4. Click Save.

3. Following up on a lead

  1. Open a lead.
  2. Click the WhatsApp quick-action button to open a pre-filled message.
  3. Or click Log Activity to record a call note or email summary.
  4. The activity timeline on the lead tracks all touchpoints.

4. Viewing my assigned bookings

  1. Go to Dashboard → Bookings.
  2. All bookings linked to your leads are shown here.
  3. Click any booking to view its itinerary, traveler details, and portal link.

5. Sharing the portal link with a client

  1. Open a booking.
  2. Find the Client Portal section in the right panel.
  3. Click Copy Link to copy the unique portal URL.
  4. Send it to your client via WhatsApp, email, or SMS.

R7 — Client Portal (Customer)

Who: The traveler/customer. Does not have a dashboard account. Accesses only their own booking portal.

Accesses via: /portal/[bookingId] — a unique, token-protected URL sent by the agency.

There is no login page for R7. The portal URL is the authentication mechanism. If a client loses their link, the agent can resend it from the booking detail page.

Using the Client Portal

  1. Open the portal link provided by your travel agency.
  2. The itinerary loads directly — no password needed.
  3. Navigate using the tab bar: Itinerary · Documents · Travelers · Payments.
  4. To chat with the AI concierge: tap the Ask NAMA button at the bottom of the screen.
  5. The AI can answer questions about your trip, visa requirements, packing lists, and weather.
  6. After your trip, leave feedback using the Rate Your Trip card (1–5 stars + optional comment).
⚠️ Privacy note: The AI concierge only sees your booking data. It cannot access other travelers' information. Your consent for AI assistance is requested on first use and can be withdrawn at any time.

DMC Supplier

Who: Hotels, ground operators, transport companies, or destination management companies that supply rates to agencies.

Signs in at: /login — using credentials provided by NAMA OS or self-registered as a DMC.

Home page: /dashboard/dmc/home (the standard agency dashboard is replaced by the DMC home for pure DMC tenants)

Pro tip: If your company both supplies rates to other agencies AND operates your own agency (e.g., you are an inbound DMC that also packages tours for direct clients), contact support to enable Agency mode on your account. You will then see both the full agency sidebar AND the DMC sections.

3. Module: Registration & Login

What it is

The entry point for new agencies to create an account and for all users to sign in.

Who can use it

Anyone with an invite link (for team members) or a public registration form (for new agency sign-ups).


Step-by-step: Register a new agency

  1. Go to https://getnama.app and click Register (top-right nav).
  2. Fill in: Your Name, Agency Name, Email, WhatsApp Number, Password.
  3. Click Create Account.
  4. You are signed in as your agency's administrator (the first user on a new account gets full administrative access).
  5. The Quick Setup wizard launches immediately — 7 short screens, and you can skip ahead at any point:
  • Welcome — a one-screen orientation.
  • Your business — what you are: travel agency, tour operator, DMC, or corporate travel. Tick as many as apply.
  • Company detailsdo this one carefully. Legal company name, business address, country & currency, and your tax registration number. NAMA shows the right tax field for your country (GSTIN in India, VAT number in the UK and EU, ABN in Australia, sales-tax ID in the US) and sets your currency from the country you pick. These details land on every quote and invoice you send, so getting them right once saves correcting documents later.
  • Lead channels — where your enquiries actually arrive: WhatsApp, email, website, walk-in. This tells NAMA what to watch.
  • Team — invite your colleagues by email and set each person's role.
  • One touchpoint to fix — pick the single thing you want NAMA to improve this week, so you finish with a goal rather than a blank dashboard.
  • Done — a summary plus your remaining setup checklist.
  1. After the wizard, the Setup progress card on your dashboard shows what's still outstanding — connecting WhatsApp, email, and anything you skipped — with a direct link into each one. It disappears once you're fully set up.
💡 You can skip any step. Nothing in the wizard is locked. If you'd rather start working and come back to setup, skip through — the setup card on your dashboard remembers exactly where you left off.
⚠️ WhatsApp is deliberately not inside the wizard. Connecting it needs a verified Meta Business Account, which is easier to do once your workspace exists. It's the first item on your setup card afterwards.
💡 Pro tip: If you need to re-run the onboarding wizard, contact support at hello@getnama.app — the wizard can be reset for your account.

Step-by-step: Sign in (standard users, R2–R6)

  1. Go to https://getnama.app/login.
  2. Enter your email and password.
  3. Click Sign In.
  4. You land on /dashboard — your agency workspace.

Step-by-step: Reset a forgotten password

  1. Go to https://getnama.app/login.
  2. Click Forgot password?.
  3. Enter your email and click Send Reset Link.
  4. Check your inbox for the reset email (valid for 30 minutes).
  5. Click the link → enter and confirm your new password.
  6. Click Set New Password → you are signed in automatically.
⚠️ Note: The reset link is single-use. If you click it twice or wait more than 30 minutes, request a new one.

Step-by-step: Sign in with Google

  1. Go to /login or /register.
  2. Click Continue with Google.
  3. Select your Google account.
  4. If it is your first time, your account is created as R2 by default (an admin can adjust your role).
  5. If your email is already registered, you are signed in without creating a duplicate account.

4. Module: Leads

What it is

The lead management module. Captures inbound inquiries, scores them, and tracks them through the sales pipeline from first contact to a won booking.

Step-by-step: Create a lead manually

  1. Go to Dashboard → Leads.
  2. Click + New Lead (top right) or use the Quick Create shortcut on the dashboard.
  3. Fill in the required fields:
  • Name (traveler's name)

  • Tracking: The last_reminder_at timestamp is stored on each invoice so the dunning logic knows when the last reminder went out.
  • To view reminder history: Open any invoice → click Reminder History tab.
  • To pause reminders: Open the invoice → toggle Pause Reminders OFF.

Tally Prime / ERP 9 — XML export (works out of the box, no setup):

  1. Click Download Ledgers (masters) to get the ledger-masters XML.
  2. Set the From and To dates, then click Download Vouchers for the vouchers XML for that period.
  3. In Tally: Gateway → Import → Masters (load the ledgers first), then Gateway → Import → Vouchers (load the vouchers). Always import the ledgers before the vouchers, so every voucher finds its account.

Xero — live sync:

  1. Click Connect to Xero and approve access. (A one-time setup on the server by your administrator is required first; until it's done the panel tells you so.)
  2. Pick a date range and click Sync journal entries — invoices, credit notes, payments and journal entries post to Xero as Manual Journals.
  3. Sync runs on demand and again automatically every night (2 AM IST). NAMA's chart of accounts maps to your Xero chart of accounts.

QuickBooks Online — live sync:

  1. Click Connect to QuickBooks and approve access. (Same one-time server setup applies.)
  2. Click Sync journal entries — posted entries sync to QuickBooks as JournalEntry records. Each line needs its NAMA account mapped to a QuickBooks account; any entry with an unmapped account is skipped and reported back to you.
💡 The Tally XML export always works with no configuration. Xero and QuickBooks are live OAuth connections, so they need a one-time credential setup on the server before Connect works — if you see a "not configured yet" notice, ask your administrator to finish that setup.

12. Module: Comms

What it is

All client communications in one place: WhatsApp messages, email threads, inbound leads from social, and outbound broadcast campaigns with delivery tracking.

💡 Pro tip: The auto-triage only fills blank fields. If you manually enter a destination before the auto-triage finishes, your value is kept and the AI does not overwrite it.

14. Module: Holidays

Manage group tours with scheduled departure dates, seat capacity, pricing, and atomic seat allocation. When a client books seats on a departure, their payment holds those seats and automatically decrements supplier allotments.

Step-by-step: Change a user's role

  1. Go to Org & Control → Team.
  2. Find the user in the team table.
  3. Click the Role dropdown on their row.
  4. Select the new role.
  5. Click Confirm Role Change. The change takes effect immediately — the user's next page load will reflect the new permissions.

Step-by-step: Remove a user

  1. Go to Org & Control → Team.
  2. Click the trash icon on the user's row.
  3. Confirm the removal in the dialog.
  4. The user's account is deactivated. Their historical leads and bookings remain assigned to them in the system but are now read-only.
⚠️ Common mistake: Removing a user does not reassign their leads. Reassign open leads to another agent before removing the user.

Step-by-step: Use the role permission builder

  2. Select a role from the left panel (R2–R6).
  3. Toggle individual permissions on or off for this tenant (overrides default platform permissions).

Branches

Split your agency into named branches or departments (e.g. separate city offices) so each branch's staff sees only their own branch's leads in the Leads list, while owners and admins keep the full company-wide view. Optional — if you never create a branch, nothing changes for you.

18. Module: Staff Attendance

What it is

A read-only dashboard that reconstructs your team's login/logout activity from the system's own records — no separate check-in required. Shows who's online now, daily working-hour history, and combines it with the existing Team Performance report.

  2. Outbound webhooks are live now — see "Set up outbound webhooks" below to push NAMA events to Zapier, your CRM, or any endpoint.
  3. WhatsApp and email are set up in their own areas (Settings → WhatsApp and Settings → Email), not here.
  4. Per-provider credential connections (pasting a key for a third-party app) are being finalised for an upcoming release. Until a given integration is live, the page tells you it's coming soon rather than storing a key that isn't used yet — so you're never shown a "connected" state that doesn't actually do anything.

Step-by-step: Set up outbound webhooks (Zapier/CRM)

  1. Go to Settings → Integrations → Webhooks.
  2. Click + New Webhook.
  3. Enter the destination URL (your Zapier webhook URL, CRM endpoint, etc.).
  4. Select which events to send. Available events: lead.created, quotation.sent, booking.confirmed, booking.cancelled.

  6. All selected events will now POST a signed JSON payload to your URL.
💡 Webhook payloads are HMAC-SHA256 signed. Verify the X-NAMA-Signature header in your receiving endpoint to confirm authenticity.

Step-by-step: Configure your AI provider (BYOK)

NAMA's AI features run on Groq by default — completely free. If you want higher rate limits, specific models, or your own API cost tracking, you can bring your own key.

Default behaviour (no action needed):

  4. Set is_public = true for rates you want visible on the NAMA marketplace. Leave false for invite-only rates.

Client Memory is automatic. Every time a client sends a message (WhatsApp, email, portal chat):

  3. When you open a lead, the Client Memory card surfaces the most relevant recall: top destinations, travel style, preferred accommodation, past trip notes.
  4. When you generate an AI itinerary for this client, the memory is automatically injected so the AI knows their preferences without you having to re-enter them.

EKLA is the assistant that already lives in the orb at the bottom-right of every screen. This is the same assistant with room to breathe — a full page for the questions that need more than a 400-pixel box.

What you can ask

Anything about your own agency's knowledge: your destinations, your policies, your packages, your terms. EKLA answers from your knowledge base — not the open internet — so the answers are yours, not generic travel advice.

The three things that make it useful

1 · It remembers.

Every conversation is saved to your account. Refresh the page, come back tomorrow, open NAMA on your phone — your threads are still there in the rail on the left. Open an old one, start a new one, or delete what you don't need. Nothing is lost when you close the tab.

2 · It shows its work.

Answers carry citation chips — click one and you see the exact source EKLA read. If it can't find a grounded answer, it tells you instead of inventing something plausible. That's deliberate: a confident wrong answer about a visa rule costs more than "I don't know."

3 · It offers your own questions back.

The opening screen suggests what you recently asked, so continuing yesterday's line of thought is one click. These are only ever your questions — never a teammate's, because question text often contains client details and must not travel between people.

Read the repeated questions as a to-do list. If four people asked "what's our cancellation window for Dubai?" this month, that isn't an EKLA problem — it's a gap in your knowledge base. Fill it once, and the question stops being asked. This panel is the fastest signal you have for what your team doesn't have written down.

Sales Managers and below don't see this panel, and can't reach it directly.

What this page deliberately does not do

It doesn't take actions. The orb widget can create a lead, draft a follow-up, and so on — with an approval step before anything is written. This page answers questions only. If an answer would need an action, the page says so and points you at the orb, where the approval flow lives. One place to ask, one place to approve — so nothing gets written to your CRM by accident on a page built for reading.

On mobile

The conversation rail becomes a drawer you can toggle, so the answer keeps the full width of the screen.

Tips

  • Ask it what it knows. "What do you have on Bali?" is a fast way to audit your own knowledge base.
  • A citation chip that surprises you is a signal. If EKLA cites the wrong page, that page needs fixing — you've just found stale content.
  • If EKLA says it doesn't know, believe it. That's the feature working. Add the source, ask again.

💡 Quick Brief is the fastest way to start an itinerary. Instead of filling all triage fields, type one sentence in the AI Generate modal and press Enter. The entire form fills in under 3 seconds.
💡 Version history saves you from accidental edits. If you accidentally rearrange or delete itinerary blocks, open Version History and restore the last saved snapshot.
💡 Vault expiry warnings. The Contacts Vault tab shows amber warnings on passports and visas expiring within 90 days of today. Review before booking — a client with an expiring passport can cause a booking to be refused at check-in.
💡 WhatsApp lead auto-triage. Inbound WhatsApp leads are auto-triaged the moment they land. You do not need to click anything. Check the lead after a few seconds and the fields will already be populated.
💡 Razorpay deposit link + WhatsApp in one click. After creating a payment link from a quotation, click the WhatsApp icon next to the link to send it as a WhatsApp message directly to the lead's number. No copy-paste needed.
💡 Rate locked badge. An itinerary block showing a "Rate Locked" badge means that block's cost is pulled from your vendor rate card. If you update the rate card, re-lock the block to pick up the new rate.
💡 Webhook test button. After setting up a webhook, use the ⚡ Test button in Settings → Integrations → Webhooks to verify your endpoint is receiving payloads before you depend on it for live data.
💡 Morning Brief Send Now. The Morning Brief panel in Dashboard → Routines has a Send Now button for a manual trigger. Use it after completing a big day to get an instant summary before your team meeting.

28. Troubleshooting

I cannot see the full sidebar after logging in

  • Cause: Your browser loaded a cached version of the dashboard before your user session was ready.
  • Fix: Hard-refresh the page (Cmd + Shift + R on Mac / Ctrl + Shift + R on Windows). If the issue persists, sign out and back in.
  • Cause: The booking may have been cancelled, or the token in the URL was truncated.
  • Fix: Go to the booking → Client Portal section → copy the link fresh using the Copy Link button. Do not type the URL manually.

My WhatsApp messages are sending but not being received

  • Cause: WhatsApp Cloud API requires an active Meta Business Account and an approved message template for outbound messages to non-opted-in numbers.
  • Fix: Contact NAMA support. In the meantime, use WhatsApp's click-to-chat URL (https://wa.me/{phone}) for manual outreach.

The AI itinerary generation is taking more than 5 minutes

  • Cause: Groq (the free AI provider) may be experiencing high load, or your BYOK provider key may have hit its rate limit.
  • Fix: Close the modal and try again. If the issue persists, check Settings → API Keys to verify your AI provider key is valid (or clear it to fall back to the free Groq default).

I get a "Quotation Conflict (409)" error when saving

  • Cause: Someone else (or an automated agent) edited the same quotation since you opened it.
  • Fix: Refresh the quotation page, review the latest version, make your changes again, and save.

PDF generation fails or downloads an empty file

  • Cause: WeasyPrint (the PDF engine) occasionally fails on unsupported characters or very long itineraries.
  • Fix: Check for any unusual characters in descriptions. If the itinerary has more than 20 days, try generating the PDF in sections.

I cannot log in after resetting my password

  • Cause: The reset link may have been used twice or expired.
  • Fix: Request a new reset link at /login → Forgot password?. Each link is valid for 30 minutes and is single-use.
  • Cause: The Razorpay API keys are not configured for your account.
  • Fix (admins): Go to Settings → Integrations → Razorpay and enter your Razorpay Key ID and Key Secret. For live mode, use rzp_live_... keys.

Seat allocation on a departure shows "Allotment Cut Off (409)"

  • Cause: The supplier contract allotment for this departure has a D-x release cutoff date that has passed. The supplier's rooms are no longer available under the contracted rate.
  • Fix: Contact the supplier directly to confirm availability at spot rates, or cancel and create a new departure with a new supplier contract.

The Webhook Test shows "✗ Test failed"

  • Cause: Your receiving endpoint returned a non-2xx response, or the URL is unreachable.
  • Fix: Check that your server is running and the URL is correct. In Zapier, ensure the Zap is turned on. In custom endpoints, check that your server returns a 200 response. Re-test after fixing.

The Morning Brief is not arriving

  • Cause: The brief is enabled but AI narration or email delivery may not be fully configured yet.
  • Fix (admins): Contact support to confirm your AI and email settings are connected. In the meantime, use the Send Now button to manually trigger a test delivery.

Step 5 — Invite Your Team

Navigate to: Dashboard → Org & Control → Team tab

Method A — Single Invite (any team size)

  1. Click Invite Member
  2. Fill in: Full Name, Email, Role, Department, Designation
  3. Click Send Invite
  4. Each person receives an email with a setup link valid for 14 days

Method B — Bulk CSV Import (recommended for 5+ people)

  1. Click Bulk Import CSV
  2. Paste your CSV in this format:

  • Role accepts the display label (Sales Manager) or ID (R3_SALES_MANAGER)
  • Department and Designation must match names you created in Steps 2 and 3
  • All columns after Email are optional
  1. Preview the table to confirm all rows look correct
  2. Click Send [N] Invites — all emails go out in one click

Step 6 — Assign Department Heads

Once team members have accepted their invites:

  1. Go to Dashboard → Org & Control → Structure → Departments
  2. Open each department
  3. Set the Head field to the person who leads that department
  4. Click Save

The Org Chart now shows the correct reporting hierarchy.


Step 7 — Set Up Partner Offices (e.g. Team Viva Voyages)

Partner offices are separate entities — set them up as a vendor, not a team member.

  1. Go to Dashboard → Vendors → + Add Vendor
  2. Category: Agency Partner (or Misc if not listed)
  3. Fill in the partner office's details
  4. Use the Notes field to document the commission arrangement
  5. When quoting jobs that involve this partner, add a line item with their vendor record

Step 8 — Verify Everything Is Working

Before your team goes live, do a quick end-to-end check:

  1. Create a test lead from the Leads page (use a team member's phone number).
  2. Run AI triage on the lead — destination and budget should auto-populate.
  3. Create a test quotation with 2–3 line items.
  4. Download the quotation PDF — verify your logo and contact details appear.
  5. Create a test booking and generate the Client Portal link.
  6. Open the portal link on your phone — verify the itinerary and documents load.
  7. Send a WhatsApp message to the test lead — verify delivery.

If all 7 steps pass, your workspace is ready. Delete the test data before inviting real clients.
