This manual covers everything a travel agency, tour operator or DMC team needs to run their business on NAMA. It is written for the people who use NAMA every day — owners, sales, operations, finance and agents.

Admin & Settings

Setting up the workspace: people and roles, every Settings tab, billing, your public storefront, and what your travellers and suppliers see.

1Team, Roles & Structure

Everything here lives in Settings (one admin home): Org Chart, Structure, Team, Teams, and Roles & Permissions are tabs on the Settings page.

Step-by-step: Set up your team (new workspace)

  1. Create departments — Settings → Structure: e.g. Leadership, Pre-Sales, Sales, Operations, Accounts. Leave each department's Head blank until that person has joined.
  2. Create designations (job titles) with a rank level — Director (10), Manager (30), Senior Executive (50), Executive (70). Lower number = more senior; rank drives approval chains.
  3. Map people to roles before inviting — see Roles & Permissions. Typical mapping: owners → Org Admin; sales heads → Sales Manager; operations staff → Ops Executive; accounts → Finance Admin; junior executives → Agent.
  4. Invite — Settings → Team. One at a time: Invite Member — name, email, role, department, designation; the invite link is valid for 14 days, and you can resend it anytime from the pending row. In bulk (5+ people): Bulk Import CSV — one row per person as Full Name, Email, Role, Department, Designation. Role accepts the label ("Sales Manager") or the code (R3_SALES_MANAGER); department and designation must match what you created. Preview, then send all invites in one click.

Example CSV:

Asha Nair, asha@youragency.com, Org Admin, Leadership, Director
Rohit Verma, rohit@youragency.com, Sales Manager, Sales, Department Head
Priya Iyer, priya@youragency.com, Agent, Sales, Executive
Karan Shah, karan@youragency.com, Ops Executive, Operations, Senior Executive
Meera Joshi, meera@youragency.com, Finance Admin, Accounts, Department Head
  1. Assign department heads once people have accepted — Settings → Structure → open the department → set Head. The Org Chart draws itself from this.

Managing people

  • Change a role: Settings → Team → the role dropdown on their row. Takes effect immediately — their current session ends and they sign back in with the new permissions.
  • Deactivate someone: the person loses access immediately; their leads and bookings remain in your data. Reassign their open leads first — departed staff keep their historical leads visible so nothing vanishes, but open work needs a living owner.
  • Teams (Settings → Teams): group people into working teams and set assignment strategies — leads can be assigned to a team and distributed by its strategy.
  • Roles & Permissions (Settings → Roles): adjust per-role capabilities for your workspace — lead deletion, data export, tax/banking/finance writes, and the View all leads visibility toggle.

Branches

Advanced → Branches — optional. Split the agency into branches (e.g. city offices); branch staff see their branch's leads (plus unassigned ones), owners and admins see everything. Deactivating a branch keeps its people and tags intact.

Partner offices

A partner agency you exchange business with is a vendor (or a B2B company), not a team member — add them under Vendors with the commission arrangement in notes, and quote jobs involving them with a line item against their record.

2Settings Reference

Settings is the single admin home, with its own search box and its sections grouped down the left — Organisation, Channels, Workspace, Finance and Account. Org Admins see every section; Finance Admins see exactly the five money tabs (marked 💰); everyone else manages their personal details in My Settings.

Also under Advanced in the sidebar: Billing, Branches, White Label, Compliance, and My Settings (every user: name, phone, password reset, theme).

💡 Tax and Markups feed the Cost Sheet. The rates you set here are the defaults every new quotation line starts with, keyed by the stop's service type. A value typed on a Cost Sheet always wins over these defaults and is never overwritten by them.

Integrations & webhooks

Integrations (Org Admin): payment providers (Razorpay), calendar, and outbound webhooks — POST events (lead.created, quotation.sent, booking.confirmed, booking.cancelled) to Zapier, your CRM, or any endpoint, signed so your receiver can verify authenticity. Every webhook row has a Test button — use it after any change at the receiving end. Per-provider credential connections beyond these are being finalised; until an integration is live, the page says "coming soon" rather than storing a key that does nothing.

3Billing & Plans

NAMA is billed per seat — every feature included, no feature gates. Manage everything under Settings → Subscription (or Advanced → Billing).

PlanWho it's forPrice
Compass (free)Trying NAMA, very small teamsFree forever — up to 2 seats, no credit card, no expiry
VoyageAgencies and tour operators₹499 / user / month (internationally $19); annual pricing on getnama.app/pricing
DMC networkDMCs publishing rates to agentsFree to join, by application
MeridianWhite-label: your brand, your domainFrom ₹44,990 / month + setup, sales-led
  • Trial: every new workspace gets 14 days of Voyage free, no credit card. No payment at the end → you drop to Compass and keep all your data.
  • Invoices & receipts: every subscription payment issues a NAMA invoice and emails a receipt; both are downloadable from the Billing page. A part-paid invoice shows a Balance due chip on your plan card.
  • Paying from outside India: self-serve checkout is INR-only for now. Choose your plan, then write to hello@getnama.app and we activate it against your card or a bank transfer.
  • Metered items: WhatsApp (Meta's pass-through rate, never marked up) and AI voice minutes (pooled allowance). Text AI is free to start and unlimited once you add your own free Groq key.
  • Seats: adding a teammate is prorated and billed right away; removing one frees the seat at the next renewal. Everything a removed person created stays in your workspace.
  • Who can pay: Org Admins and Finance Admins can pay the bill; an Org Admin can also forward it. When a trial is ending, the reminder names who loses access.
  • Hitting a cap on Compass never breaks anything — you get an upgrade prompt, your data is untouched.
  • If a renewal fails: about 10 days of grace with reminders → read-only → the workspace drops to free Compass (2 seats stay active, all data kept). Re-subscribe and everything unlocks as it was.
  • Annual plans carry a 30-day money-back guarantee. Full details: getnama.app/pricing.

4Your Storefront & White-Label

What it is

Your public-facing website, hosted for you at yourorgcode.getnama.app — your logo, your colours, your packages, an enquiry form and a Book Now funnel. Visitors never see NAMA; enquiries land straight in your Leads.

Setting it up

  1. Branding: Settings → Branding — logo, favicon, brand colours, or apply a design preset from the gallery and fine-tune.
  2. Content: the Storefront module manages what's live — packages (publish from Holidays), destinations, ordering and featured picks — and previews your storefront as visitors see it.
  3. Enquiries: the storefront's enquiry form creates a lead (source: Website) with AI triage run automatically and the client's confirmation sent. Book Now goes further — the visitor picks dates and travellers and pays a 25% deposit; NAMA creates the lead, the quotation at the listed price, and sends the payment link automatically.

Your org code (the subdomain) is set at registration — find it in Settings.

Widget

Integrations → Widget — embed a booking/enquiry widget on a website you already run, instead of (or as well as) the hosted storefront.

Custom domain (Meridian)

Running the storefront on your own domain (www.youragency.com) is a Meridian-plan capability: add the CNAME record shown in White Label, then email hello@getnama.app to complete verification (allow up to 24 h for DNS).

5Client Portal (For Your Travellers)

What it is

A mobile-first private page for each booking — the client opens their link and sees their trip. No account, no password: the unique link is the key. You share it from the booking.

What your client sees

  • The day-by-day itinerary, with departure date, travellers and duration.
  • The documents you've published — e-tickets, hotel vouchers, insurance, invoices, visa letters.
  • The traveller list and payment status — deposit and balance, due dates.
  • After the trip, a rate your trip card collects a rating and comment, which lands on the booking for you.
  • Your 24/7 emergency number (the phone saved in Company Profile; hidden when none is saved), a Save PDF button that saves the portal page through the browser's print dialog, and a Download itinerary button that downloads the booking's quotation PDF (itinerary with pricing).

Your agency's name and branding are on it; NAMA's are not.

The traveller concierge

The portal's AI concierge answers questions about the trip — check-in times, packing, weather, visa basics. On first use the traveller reviews a consent notice; consent can be withdrawn any time.

  • The concierge sees only that booking — never other travellers' data.
  • It is rate-limited to 30 messages per 24 hours per booking.

6DMC Portal (For Suppliers)

What it is

The workspace for suppliers — DMCs, hotels, ground operators — who publish rates to agencies on the NAMA network and respond to their quote requests. DMC accounts land on DMC Home instead of the agency dashboard.

💡 Both a supplier and an agency? Ask us to enable Agency mode — you'll see the full agency sidebar and the DMC sections together. And if you just want to operate privately as a DMC with your own rate templates, that's included in the standard Voyage plan — no special plan needed.

Step-by-step: Upload your rates

  1. DMC Home → the rate upload → download the rate template.
  2. Fill in property, room type, season, validity, net and gross rates, child pricing.
  3. Mark rates you want visible on the marketplace as public; leave the rest invite-only.
  4. Upload — errors are highlighted row by row before anything goes live.

Where marketplace selling is enabled, rates go through an approval review before appearing to buyers — you set the sell price agencies see, and your net cost stays hidden from them, always.

Step-by-step: Answer a quote request

  1. DMC Quote Inbox — requests from agencies arrive with destination, dates, rooms and pax.
  2. Open a request, enter your rate, availability and conditions, and submit.
  3. The agency receives your quote in their marketplace panel.

Tasks

The portal's Tasks list tracks what needs doing — created automatically when a quote is accepted, a booking confirms with your services, or a payment is due.

7Data Privacy & Compliance

Your workspace's data belongs to your agency and is isolated per tenant. The Compliance module (Org Admin) is where the formal side lives:

  • Compliance posture — a summary of consents, users and their last sign-in, and active vs disabled accounts.
  • Data export requests and Deletion requests — the volumes, and the queue to review. On an approved deletion the requester's personal details are scrubbed and remaining personal data is queued for deletion; they're notified of the outcome.
  • PII inventory — where personal data lives in your workspace.
  • Data Subject Rights and an audit export for a date range, for when a regulator or a client asks.
⚠️ Deletion is irreversible. Check for outstanding invoices before approving.

A client or teammate asking for their data, or for deletion: an Org Admin handles it from Compliance, or write to hello@getnama.app with the workspace name and we'll help.

Passport and ID numbers in the Vault are stored encrypted and displayed masked — the full number is never shown casually, by design.
