This manual covers everything a travel agency, tour operator or DMC team needs to run their business on NAMA. It is written for the people who use NAMA every day — owners, sales, operations, finance and agents.

Operations & Money

After the yes: bookings, group departures, packages, suppliers, documents and the money.

1Bookings

What it is

A booking is a confirmed trip: the traveller manifest, the documents, the client portal, and the money record, all attached to one confirmed itinerary.

Who can use it

Org Admin and Sales Manager full; Ops Executive creates and runs them; Agents see their own; Finance sees the financial side.

The Bookings list

A proper table — Booking #, client with destination underneath, amount, dates, status — with Category and Created by filters. The list shows 10 bookings a page, with the range and page controls under the table. Click a column header to sort by Booking #, Client, Amount, Created by, Status or Payment status; the sort applies to the rows your tab, search and filters already show. Deleting a booking is a soft delete: it leaves the list but stays restorable; the record is never hard-wiped.

Step-by-step: Create a booking

  1. From a quotation (the normal path): open the quotation → Mark Accepted. NAMA creates the booking — one per quotation, never a duplicate — and shows an open it link.
  2. Directly: Bookings → New Booking — link the lead, destination, dates, travellers, and link or create an itinerary, then Create Booking.

The booking page

The booking opens on a header with six numbers: Total value, GST, TCS, Margin (only for roles that may see it), Collected and Pending due. Total value, GST, TCS and Margin come from the quotation's Cost Sheet, so they always match the Quotations list and the PDF; a booking made by hand has no Cost Sheet and shows a dash. The client card shows the client's name, email and phone, with Email and WhatsApp buttons that open the in-app composer (your connected channel, recorded on the lead's thread). Everyone who can open a booking sees the client's contact details on it, including Agents and Ops Executives who do not own the lead. Actions → View Itinerary opens the booking's itinerary in its read-only customer preview.

Travellers

On the booking, add each passenger — from Contacts or fresh. Name, date of birth, passport number and expiry are required for international travel; NAMA reads details from clear passport scans automatically when you upload them.

⚠️ Passport validity: the booking shows a warning banner if any traveller's passport expires within 6 months of the travel date — most destinations refuse entry below that. Fix it before confirming.

Fulfillment readiness

The Fulfillment readiness card at the top of the Bookings list watches every departure in the next 7 days and lists what's still missing on each — manifest, passports, vouchers, invoice, deposit, supplier confirmations — so operations sees the gaps without opening every booking.

Supplier confirmations

The booking's Supplier confirmations view lays every service out day by day and category by category — each hotel night, transfer and activity from the linked trip. Confirm each service as the supplier comes back to you, and generate its voucher from the same row. When the last service line is confirmed the booking confirms itself; there is nothing more to tap.

Every booking carries the private link your client uses to see their trip (no login — the link is the key). Copy it or send it on WhatsApp from the booking. If the client loses it, resend from here — don't retype portal URLs by hand. Details of what the client sees: Client Portal.

Drivers, guides and transport

Service Allocation assigns vendors to a booking's services — a driver for a transfer, a guide for a day. Pick the booking from the list (it shows number, date, amount and status), the service type, the vendor and the guest details. A service can be allocated before it's attached to a booking.

2Group Departures

What it is

Fixed-departure group tours with seat capacity, seat holds, and supplier allotments that stay in sync automatically. Departures live inside a Holiday package.

Step-by-step: Create a departure

  1. Departures → New departure (or from the package's Departures tab).
  2. Departure and return dates, total seats, minimum seats to guarantee, and per-person pricing (double, single supplement, child).
  3. Save. Status starts at Scheduled and flips to Guaranteed when minimum seats are met.

Step-by-step: Hold seats for a client

  1. Open the departure → Allocate seats → pick the lead or contact → adults and children → Allocate.
  2. NAMA checks seat availability atomically — two agents can't sell the same last seat. The available count decrements immediately.
  3. Holding seats also decrements your supplier allotment for those rooms; cancelling an allocation releases both again.
⚠️ An allocation that is refused because the supplier contract's release date (the D-x cutoff) has passed means the contracted rooms went back to the supplier. Contact the supplier for spot availability, or set up a new contract.

Seat Maps

For coach or charter departures, the Seat Maps module holds the seat layouts used when allocating.

3Holidays & Packages

What it is

Your catalogue of repeatable products — "Golden Triangle 7N/8D", "Bali Honeymoon 6N" — with departures and one-click publishing to your public storefront.

Step-by-step: Create a package

  1. Holidays → New Package: title, destination, nights, category (Honeymoon / Family / Adventure / Cultural / Solo), starting price, inclusions, cancellation policy.
  2. Link an itinerary (or build one inline) and set a Cover Image URL for the storefront card.
  3. Save.

Publishing

  • Publish to Storefront puts the package on your public site; toggle Featured to pin it to the top row.
  • Every enquiry from a published package lands in your Leads automatically, tagged with its source.
💡 One-click quote: from any package, click Quote to open a pre-filled quotation with the traveller already linked — no retyping.

4Vendors, Rates & Marketplace

What it is

Your supplier database — hotels, transport, activity operators, airlines, partner DMCs — each with rate cards that price your itineraries and quotations.

Who can use it

Org Admin and Ops Executive manage vendors; Sales looks rates up when quoting.

Step-by-step: Add a vendor and rates

  1. Vendors → Add vendor — name, category (Hotel / Transport / Activity / Airline / Guide / Misc), location, contact.
  2. Open the vendor → Rates tab → add a rate: season, validity dates, room/service type, net rate (your cost), markup %, child pricing. Sell rate calculates automatically.

Importing rate sheets

  • Per vendor: the Rates tab accepts a CSV or Excel import with flexible column matching ("Net Price" maps to the cost field automatically).
  • In bulk with AI: the Rate Catalog module reads whole supplier rate sheets — even with unusual column headers — extracts products and rates, and sends anything uncertain to a review queue (Inventory Approvals) so nothing goes live unchecked. Sheets that can't be parsed tell you why instead of failing silently.
  • Straight from your inbox: with email connected, supplier rate sheets that arrive by email — attachment or pasted rates — are read into the same review queue automatically, up to 20 a day. A human accepts every row; Accept-all-matched clears the confident ones in a click, and rejecting two sheets from one sender stops their mail being scanned. Accepting writes the rate into Masters with your own permissions: a role that cannot see supplier costs (Sales Manager and Agent by default) is told so and nothing is written, so ask an admin or another cost-viewing role to accept.

The NAMA marketplace

The DMC Rate Marketplace tab under Vendors lists approved supplier rates published on the NAMA network. Filter by destination, category and season, and Snap a rate to copy it into your own vendor library, ready for itinerary lookups. You always see the supplier's sell price only — their net cost is never exposed to you, and yours is never exposed to them.

If you also supply rates (you're a DMC or hotel), see DMC Portal.

5Documents

What it is

Generated travel paperwork, branded with your logo and details: quotation PDFs, invoices, hotel/transfer/activity vouchers, booking confirmations and visa support letters. The Documents module is also the library of everything generated or uploaded — passports, signed agreements, vouchers — searchable in one place.

Generating documents

  1. Documents → Generate Document, or from a confirmed booking.
  2. Pick the type — e.g. Hotel Voucher — choose the hotel from the itinerary, verify dates, room and guest names, and generate the PDF.
  3. Download, email it, or publish it to the client portal.

Sending vouchers: the booking's Traveller contact card (pre-filled from the lead) sets who receives them. Send one voucher or Send all — WhatsApp carries a tracked link to the PDF, email attaches the PDF, and both go from your connected number and address, never a NAMA one. Links stay valid until 30 days after the last service, and every send keeps a delivery record on the booking.

Booking Confirmation generates the confirmation PDF (passenger list, dates, itinerary summary, payment status) for every traveller on the manifest.

Contracts

The Contracts module manages legal agreements with an e-signature flow — for supplier contracts and client agreements that need more than a quotation's acceptance.

6Finance, Invoices & Payments

What it is

The money layer: payments in and out, invoices with sequential numbering, a P&L, GST returns, supplier payables, bank reconciliation, budgets and automatic payment reminders.

Who can use it

Org Admin and Finance Admin, in full. Finance Admins also see the money tabs in Settings — Subscription, Banking, Tax, Invoice Numbering, Markups — and nothing else there.

The Finance tabs

Overview · Quotations · Invoices · Payments · Supplier Payments · P&L Report · GST Returns · Bank Reconciliation · Budget vs Actual · Exports & Integrations.

Step-by-step: Record a payment received

  1. Finance → Payments → record a payment.
  2. Pick the booking; amount, currency, date, method (Bank transfer / Razorpay / Cash / Cheque), and a reference.
  3. Save — the booking's balance and the P&L update automatically.

Invoices

  1. Open a confirmed booking → generate its invoice (or Finance → Invoices).
  2. Line items pull from the accepted quotation; review amounts and taxes.
  3. Download the PDF or Send it to the client.
  • Invoice numbers follow your sequence — configure prefix and numbering under Settings → Invoice Numbering.
  • Automatic payment reminders (dunning): clients with outstanding invoices get reminder emails, never more than one per 24 hours. Each invoice shows its reminder history, and reminders can be paused per invoice.
  • A partial payment against an invoice is recorded as such and the remaining balance stays visible.
  • Credit and debit notes are full Section 34 documents — the note's heading, the number and date of the invoice it revises, and the reason, all on the PDF.
  • International invoices need your TAN (Settings → Company profile, beside PAN). NAMA refuses to issue one without it — collecting TCS without a TAN is itself an offence.

GST returns

Finance → GST Returns — set the period and download the GST Report CSV with one row per issued invoice: invoice number and date, client name and GSTIN, taxable value, CGST / SGST / IGST, total tax, grand total. Import into Tally or Zoho Books, or send to your CA.

Accounting integrations

Finance → Exports & Integrations (Org Admin and Finance Admin):

  • Tally — works out of the box: download the Ledger masters file, then the vouchers file for your period; import into Tally in that order (masters first, so every voucher finds its account).
  • Xero / QuickBooks Online — live connections: click Connect, approve access, and sync journal entries on demand (plus a nightly auto-sync). If the panel says the connection isn't configured yet, ask us to finish the one-time setup — hello@getnama.app.

Supplier payments

Finance → Supplier Payments shows everything you owe suppliers — due today, tomorrow and overdue — grouped by vendor. Payables are created from your itinerary's rate-card costs; record payments against them as you settle.

Budgets

Budget vs Actual lets you set a spend target per cost centre with an alert banner as you approach it.

Refunds

The Refunds module tracks cancellations and money going back — visible to sales, ops and finance so a refund in progress is never a mystery.

Razorpay setup

Payment links (deposits, Book Now) need your Razorpay keys: Settings → Integrations → Razorpay — Key ID and Key Secret (live keys start rzp_live_). Until keys are set, payment links are placeholders.
