This manual covers everything a travel agency, tour operator or DMC team needs to run their business on NAMA. It is written for the people who use NAMA every day — owners, sales, operations, finance and agents.

Comms & AI

Talking to clients on your own channels, the automations that run in the background, and where EKLA does the work for you.

1WhatsApp & Email

What it is

Client conversations on your own channels, inside NAMA — so every message lives on the lead, survives handovers, and never sits only in someone's phone.

Who can use it

Org Admin, Sales Manager, Ops Executive; Agents see their own conversations.

Messaging from a lead — and what the colours mean

Click Send WhatsApp Message or Send Email on any lead to open the composer. It actually sends through your connected channel and records the message on the lead — and it is honest about delivery:

  • Green — Delivered. Sent on your connected channel.
  • Amber — Saved but not delivered, with the reason. The message is recorded on the lead; nothing pretends it reached the client. When the reason is that WhatsApp isn't connected, the box offers a Connect WhatsApp link straight to Settings; when the lead has no phone number, it says that instead.
  • Open externally remains as an explicit fallback — it opens WhatsApp or your mail app with your typed message carried across, for the times you want to send from your own phone.

The 24-hour rule, and templates

WhatsApp only delivers a typed message to someone who has messaged you in the last 24 hours. Outside that window Meta rejects it, and the composer tells you so. For anything else — a first contact, a follow-up days later — send an approved template instead:

  • Comms → Message Templates lists the templates on your WhatsApp Business Account, read live from Meta, each with its status: Approved (green — sendable), In review, In appeal, Rejected. Only an Approved template can be sent. If WhatsApp isn't connected, the page shows sample templates behind a plain warning saying so.
  • NAMA's own automated messages — the lead acknowledgement, follow-up drips, booking confirmations, pre-trip and post-trip messages — are sent as approved templates, so they deliver whenever they fire.

The inboxes

  • Comms — conversations per client: WhatsApp and email threaded together, with unread badges, search, and reply-in-place. Threads link to their lead automatically.
  • Inbox — everything incoming, across all channels, one list.
  • Email from a booking: the booking's Comms tab pre-fills the traveller emails; replies thread back to the booking.

Connect WhatsApp

Settings → WhatsApp:

  1. Connect with Meta — where embedded signup is enabled on your workspace, log in to your Facebook Business account, pick or create the WhatsApp Business number, verify with the one-time code, and NAMA receives the credentials automatically and shows Connected. If the page says Embedded Signup not yet configured, use Manual Setup.
  2. Manual Setup → Manual token entry — three values from Meta Business Manager: the Phone number ID (the long numeric ID under WhatsApp Manager → Phone numbers → Settings — not the phone number itself; NAMA refuses a phone number here because sends would fail), the WABA ID, and a System User token set to never expire — temporary tokens die after 60 days and take your channel down with them. NAMA verifies the token with Meta in real time before saving.

Once connected, NAMA subscribes your number to its webhook so delivery statuses and inbound replies reach you. If a connection made earlier shows an amber card, click Resubscribe webhook — it's safe to press more than once.

⚠️ You need a verified Meta Business Account, and until Meta business verification completes your number may be limited to a small number of recipients a day. If Meta verification is where you're stuck, write to hello@getnama.app — it's the single most common setup snag and we help with it daily.

Messages you send go out under your agency's name — clients see you, not NAMA.

Connect email

Settings → Email:

  • Sending: use NAMA's built-in sending, or your own SMTP (presets for Gmail, Outlook, Zoho) — Test sends you a real email before you save. The enquiry-confirmation email and quotation emails go out through this.
  • Receiving: connect IMAP so replies and new enquiries land in NAMA — enquiry emails become leads automatically (with auto-replies and no-reply mailers filtered out), and NAMA records which of your addresses each enquiry arrived at.

Templates and snippets

  • Email Templates — full pre-written emails you clone and send.
  • Snippets — short canned responses for the composer.
  • Greetings — automated birthday, anniversary and passport-renewal messages (see Automations).

2Marketing & Broadcasts

The Marketing module has four tabs:

TabWhat it does
Social PlannerPlan and track social posts
Email CampaignsEmail campaigns to segments of your book
WA BroadcastsWhatsApp broadcast campaigns
Brand BoardYour brand kit for outbound content

Step-by-step: Send a WhatsApp broadcast

  1. Marketing → WA Broadcasts → New Broadcast.
  2. Pick an approved template and personalise with variables like {name}, {destination}, {travel_date} — replaced per recipient.
  3. Choose recipients by status, source, temperature, or hand-pick.
  4. Send now or Send later — a scheduled broadcast dispatches itself at the picked time.
  5. Every send writes a per-recipient record — sent, failed, or skipped with the reason — and the campaign shows its delivery rate (green at ≥90%, amber below) so a list problem is visible immediately. An AI composer drafts the message from a one-line brief, and consent segments keep the audience to contacts who opted in.
⚠️ WhatsApp broadcasts require an approved Meta message template and are billed at Meta's pass-through rate (never marked up by NAMA).
  • Trigger Links — trackable URLs for offers: know who clicked what.
  • Forms — build enquiry forms, surveys and NPS; submissions can create leads.
  • Reputation — collect and respond to reviews and ratings in one place.

3Automations & Routines

What it is

The background engine: follow-up reminders, scheduled routines, greetings, and the AI triage that runs on every inbound lead.

Who can use it

Org Admin configures; Sales Managers see routine runs and results.

Auto-reminders

Automations → switch on automated reminders and tune the rules:

  • New Lead Nudge — a lead still New and uncontacted for 1 day: the owner is reminded.
  • Cold Lead Follow-up — Contacted, but no activity for 3 days: a re-engagement message goes to the lead and the owner is notified.
  • Stale Qualified Lead — Qualified, no update for 7 days.

Every rule card shows its last-run badge — green with how many leads it processed, or red with the error — so you know your automation is alive, not assumed alive. Run Now triggers any rule immediately. Client-facing automated WhatsApp messages go out as approved templates; where a template doesn't exist yet for a step, that step is skipped rather than sent wrong.

Routines (build your own)

Routines → New Routine: name it, pick a trigger (a schedule, or an event like lead created / booking confirmed), then chain steps:

StepWhat it does
Send WhatsApp / Send EmailMessage a contact, lead or teammate
Update Lead StatusMove the pipeline automatically
Create TaskAssign a to-do to a teammate
DelayWait N hours before the next step
AI SummariseAdd an AI summary of recent activity
Send NotificationIn-app notification to a person or role

Save as draft or Save and Activate.

Morning Brief

The Morning Brief panel (top of the Routines page) builds a daily digest — KPI snapshot, HOT leads with no activity, upcoming departures, top performer, and a short AI narration.

  • Send Now delivers it to your email immediately (5-minute cooldown between manual sends) — use it before a team stand-up.
  • The Email toggle schedules it daily; the panel shows Last sent so you can see it's actually going out. If Last sent isn't updating, use Send Now and contact hello@getnama.app — see Troubleshooting.

Greetings

Engagement → Greetings — automated birthday, anniversary and passport-renewal messages, sourced from contact occasions and Vault expiry dates.

Routing rules

Settings → Routing Rules — auto-assign incoming leads by destination, source, branch or team. Rules run on every lead, whether it arrived by WhatsApp, email, import or hand-entry.

4Workflow Builder & Approvals

Workflow Builder

Operations → Workflow Builder — the visual editor for your Sales → Ops → Finance pipeline: drag-drop stages, approval gates, send-back loops, SLA tracking and a vendor-RFQ stage. Use it when your agency's handover process is bigger than a status field — for everyone else, the default pipeline works out of the box.

Approvals

Sales pipeline → Approvals — deals waiting on a sign-off (discount beyond policy, credit terms, a stage gate from the Workflow Builder). Approvers see what's waiting; requesters see where it's stuck.

5AI in NAMA

NAMA is AI-native: the same assistant — EKLA — shows up everywhere as a colleague who drafts, fills and finds, while you stay in charge of everything that reaches a client.

⚠️ The one rule: review before it ships. AI drafts itineraries, replies and summaries; a human approves anything client-facing. NAMA is built around that — follow-ups wait in an approval queue, the EKLA orb asks before writing to your CRM, and AI never overwrites fields you filled by hand.

Ask EKLA — the full page

AI & intel → Ask EKLA (Org Admin, Sales Manager, Ops Executive, Finance Admin):

  • It remembers. Conversations are saved to your account — refresh, switch devices, come back next week; your threads are in the left rail.
  • It cites its sources. Answers are grounded in your knowledge base, with citation chips you can click to see exactly what it read. If it can't find a source, it says so rather than inventing one — a confident wrong answer about a visa rule costs more than "I don't know".
  • It suggests your own recent questions — only ever yours, never a teammate's (question text often contains client details).
  • It doesn't take actions. The page answers questions; actions (create a lead, draft a follow-up) live in the orb, behind an approval step — so nothing writes to your CRM from a page built for reading.

Team insights (admins): last 30 days of question volume, active users, and the questions your team keeps repeating — read that list as a to-do: a repeated question is a gap in your knowledge base. Fill it once and it stops being asked.

💡 Ask EKLA "What do you have on Bali?" to audit your own knowledge base. A citation that surprises you is stale content you just found.

Your AI provider (BYOK — bring your own key)

AI runs on NAMA's built-in provider by default, free to start. The shared free tier is rate-limited platform-wide — fine for demos and occasional use, not for a whole team generating at once. For unlimited usage or a specific model, add your own key under Settings → API Keys:

Groq (free — recommended first key) · OpenRouter · Anthropic · OpenAI · Google Gemini · DeepSeek · Mistral · Together AI · Cohere.

Paste the key → Validate & Save (NAMA makes a real test call). The AI Usage tab shows calls, estimated cost and daily trend, with an optional monthly cost alert emailed to admins. Pin Model forces every AI feature in your workspace onto one specific model, until you unpin.

In preview (off by default)

AI voice, autonomous agents, and the DMC marketplace browse are in limited preview — ask us to switch them on. EKLA on your own website (site visitors chat with EKLA and become leads in your CRM) is built but enabled per-account. Contact hello@getnama.app.

6Calendar, Tasks & Team Chat

  • Calendar — meetings, follow-ups and departures on one calendar; opens on today. Reminders link straight into the Call Queue.
  • Appointments — bookable links for client calls: share the link, the client picks a slot. Slots already booked are never offered twice.
  • Check-in — guests arriving today, tomorrow and in the next 7 days, so operations sees arrivals without digging through bookings.
  • Occasions — birthdays, anniversaries and document expiries in one view, feeding automated Greetings.
  • Tasks — internal to-dos, assignable to teammates; routines can create them automatically. Agents see the tasks on their own leads.
  • Team Chat — internal messaging with channels, DMs and presence. Coordinate on a lead without leaving NAMA — and without the conversation ending up in the client's thread.

7Reports & Insights

Reports

Operations → Reports, seven tabs:

TabWhat it shows
OverviewThe headline numbers for your chosen period
SourcesWhere your enquiries come from, and which sources convert
Conversion FunnelEnquiries by stage, conversion, movement
Team PerformanceLeads, quotes, bookings and conversion per person
DestinationsDemand and revenue by destination
ForecastsWhere the current pipeline is heading
Scheduled DeliveryHave a report emailed to you on a schedule

Use the date-range picker, and export where you need the raw data.

Enquiry Funnel

Operations → Enquiry Funnel — the "which leads are we quietly losing?" view. It surfaces enquiries nobody has actually contacted, based on real contact activity (messages, calls) rather than a status field someone may have set by accident, plus stage-ageing and coaching signals.

Staff Attendance

Advanced → Attendance (admins and sales managers) — reconstructed from sign-in activity your team already generates, nothing extra to do:

  • Live — who's online right now; KPI strip with attendance % and average hours.
  • Attendance Log — day-by-day session timelines per person (Today / 7d / 14d / 30d), exportable.
  • Performance — the same person-level sales numbers as Reports, next to attendance, for a combined people view.

Performance targets & incentives

Advanced → Performance — set monthly targets per person or team and define incentive tiers against them. Role scorecards weight the lines that matter for each role, with a cap on over-attainment and gates a score must clear, so the number means the same thing for everyone. Spot awards pay a cash bonus against a monthly budget cap you set, and the ledger shows every payout with its basis — provisional until the month closes. Everyone sees where they stand mid-month instead of finding out at month end.

The overnight receipt

Every morning at 8:00 IST, admins get one email — Overnight at your agency: enquiries received, how many are hot, what was acknowledged, what waits on a human, and whether the AI checks are green. Proof the machine worked while you slept, and the list of what needs you first.

Revenue Intel

AI & intel → Revenue Intel — lead health scores, owner alerts and lost-revenue tracking: the control layer over your pipeline's money.
